Regional Energy Transmission Services Firm Workforce Solution

Business Challenge

Our customer, a leader in energy transmission services, had difficulty facilitating their talent acquisition with standardized process and technology. The customer was experiencing decreased productivity levels in their workforce from the lack of process and redundant approvals, causing additional administrative time and effort and burdening h iring managers. The customer needed a trusted partner that could advise on best practices and streamlined processes, optimize technology to work with their SAP ERP, and provide dedicated program resources. Also, since the customer’s workforce is primarily composed of high-level skill sets, like engineering and IT, they required a partner that could effectively attract, manage, and retain this high-caliber workforce. The customer’s lack of a centralized system proved to be a key issue; this deficiency limited executive stakeholders’ control and visibility into the talent acquisition process.

Services Provided

  • Contingent workforce management
  • Vendor Management System (VMS)

Results

Through a collaborative and consultative approach, Yoh developed a program for the customer that was easy to use, quickly delivered talent, and freed hiring managers to focus on core responsibilities. By implementing a vendor management technology (VMS), a technology platform that facilitates full talent lifecycle management, our customer now had access to information related to their contingent workforce (cost of hire, average contractor tenure and supplier performance).

Even though the VMS is a portal accessible from any internet connection, the SAP foundation allowed for our customer to benefit from integration opportunities. This eliminated the customer’s duplicated processes; approving time online, then creating a GR (goods receipt) in their SAP system. The integration eliminated the need for this GR process, thereby reducing a significant amount of time spent by the hiring managers and other departments. This process is now simplified through the VMS to one click in a two-week implementation with a 95% compliance rate.

The robust reporting capabilities of technology have also given stakeholders’ control and visibility into the talent acquisition process through extensive workforce statistical data, metrics and financial reporting as well as real-time access to status and approvals. In addition, a dedicated on-site management team provides point-of-contact and accountability for the customer and is available, both locally and remotely, to handle hiring peaks and fluctuations. The team provides in-depth pre-screening of all candidates to increase quality and reduce manager’s review time. This team shifted labor intensive recruiting tasks away from hiring managers to Yoh so that employees were able to focus on key job functions but still choose which candidates they wished to interview and the selection of the final candidate. Yoh optimized the customer’s talent supply chain to improve talent quality and better control their employment brand; originally they had more than 25 suppliers now just 10 top performing suppliers comprise the population.

Overall Benefits Received:

  • Cost savings realized within first year of program over 5%
  • Decrease in time-to-fill rates 20%
  • Time reduction in AP processing of invoices 50%
